Q: I want to attend all three conference days, which package should I
choose?
A: To attend the conference from Thursday 5 - Saturday 7 June 2025, you should select the Full Delegate Package at time of registration.
Q: I only want to attend one or two days of the conference, which
package should I choose?
A: If you want to attend one day of the conference, you will need to select a Day Delegate Package for your chosen day (choose ONE day; Thursday only, Friday only or Saturday only). If you want to attend two days of the conference, you will need to select ONE of the three available two day package combinations which are: Thursday and Friday OR Friday and Saturday OR Thursday and Saturday. If you wish to attend more than two conference days, you should opt for the Full Delegate Package as described above. Note that Saturday 7 June is a short day. All tracks, including the exhibition, are expected to close at 2pm on this day.
Q: Am I eligible to receive the BCLA member rate towards my conference package?
A: To qualify as a BCLA Member, you
must have a valid BCLA Membership subscription at both the time of
booking and at the conference itself. Make sure that you have logged in to your BCLA
member account (or renewed your membership if you are due to renew) in order to qualify for any applicable member
discounts. Discounts are automatically calculated at time of registration.
Important reminder: Following our website upgrade all members were sent a reminder to reset their passwords. If you've already reset your password, you're all set! If you haven't done so yet, please ensure you reset it to access the correct membership and delegate package rates.
Q: I have a Registered User account, why can't I view the member rate?
A: Registered Users do not qualify for the member discount; the full rate
will be payable. You need to join as a BCLA member to get the member rates. If you do not wish to join as a BCLA member, you will need to create a FREE Registered User account, otherwise you will not be able to proceed with your conference registration. If you already
have an account, please do not create multiple accounts. You should contact [email protected] if you require assistance
accessing your account.
Q: I am a Trainee CLO, how do I proceed with my conference registration?
A: Trainee CLO's are eligible to receive the discounted New Professionals registration rate. Before completing your conference registration online and to receive the preferential rate, you must first become a member of the BCLA. You will be required to join under the student membership category. You can join online HERE. Trainee CLO's who do not wish to join as a member of the BCLA will be required to pay the non-member rate to attend the conference.
Q: Do I need to read and agree the terms & conditions before registering for the conference?
Yes, by completing your registration, you are required to read and agree to the event’s terms and conditions. These terms outline important details about your booking, cancellations, refunds, and other event-specific policies. We recommend reviewing the full terms and conditions before confirming your registration to ensure you are aware of all the requirements and responsibilities.
Q: How do I log in to my BCLA profile?
A: You would have created your profile at the time you joined as a member or created a free Registered User account. Please note, your username is your email address.
If you have forgotten your password, here’s how to reset your password:

Click on the “Forgot Password” link on the sign in screen

Enter your registered email address (please use the email associated with your BCLA membership account*)

Follow the instructions sent to your email to create a new password.
Once your password is reset, you’ll be able to log in and book for the conference. If you encounter any login issues or have any questions, please reach out to our team at [email protected].
*Important: Please ensure that you use the email address currently registered to your account. Do not use a different email or create a new account, as this will not connect to your existing membership.
Q: I would like to
register more than one person to attend the conference, what should I do?
A: Online registration can only accomodate booking one person at a time, therefore
each delegate will need to register themselves individually. If you are registering on behalf of a colleague, you will need the account
holder's permission to access their account to process their
registration. This will need to be done for each person you are
registering on behalf of. If you're registering five or more individuals for the conference, consider taking advantage of our group booking option (details below).
Q: Do you have group booking rates?
A: Yes. Group bookings are classed as 5 or more registrations and must be completed by one main registration contact. Full Delegate Packages can be purchased as part of a group booking for a fixed fee of £720 + VAT per person, irrespective of membership type. A group booking discount will be applied to the total cost of the group booking as follows:
No other promotional offers, including early bird and member discounts, can be used in conjunction with the group booking offer. All individuals in the group must be booked with a Full Delegate Package; any individual wanting to book something other than a Full Delegate Package should complete their registration separately. This includes optional extras such as workshops and ticketed social events.
If you are registering less than 5 people, you will need to process each delegate registration online individually.

Q: I am an overseas delegate, where can I obtain a conference
invitation letter?
A: If you require an invitation letter to attend the BCLA Clinical
Conference & Exhibition, please download the Visa Application Form, complete and return to [email protected].
Q: How do promotional codes work for conference registrations?
We reserve the right, from time to time, to run special promotional offers on events. In the event of a special offer, additional terms & conditions may apply which will be made available at the time of booking and/or receipt of a promotional code.
If you have a promotional code, you must enter it at point of checkout when processing your online registration. You must enter the code before inputting your payment details by entering your code in the 'Promotional Offer' box on the checkout page and by clicking 'apply'.
You will not be able to redeem vouchers under any circumstances once your conference registration has been completed. A maximum of one code per customer can be redeemed at any given time. Promotional offers cannot be used in conjunction with any other offer. Please ensure that the promotional code is entered correctly, as no changes can be made once the registration is completed. The standard booking terms & conditions apply in addition to any promotion-specific terms and conditions.
Q: How do I get a copy of my conference booking receipt?
A: You will receive an auto-confirmation email in your inbox shortly after completing your online registration (please check your junk folder if you don’t see it). We recommend keeping a copy for future reference.
If you'd like to print a copy of your VAT receipt, simply log in to your BCLA profile by clicking "Hi [Your Name]" at the top of the webpage. Once logged in, navigate to the "Transactions" tab in the left-hand menu of your profile. Select the order number for which you need a receipt, and click "Print Confirmation" to download or print a copy of your receipt.
Q: I am trying to process my payment online, but I am receiving the "Error-15" message. How do I proceed?
If you receive ERROR-15 message then this is usually an issue with your bank. You will therefore need to contact your bank and give them instruction/permission to allow BCLA to process the funds for your registration fees. If the error persists, or you start receiving any other error messages, contact [email protected]
Q: What is the refund and cancellation policy for the BCLA Clinical Conference?
If you are unable to attend the BCLA Clinical Conference for any reason (including for reasons relating to coronavirus and strike action) and need to cancel your booking, please let us know ASAP by emailing [email protected]
If you wish to cancel your booking, BCLA will offer you one of the following options:
i) Change your registration package
ii) An attendee substitution
iii) A refund
i) Change your registration package
If you would like to cancel your registration package, BCLA in the first instance will offer you the opportunity to amend your booking to an alternative package on a different conference date.
You must give written notification of a package substitution to BCLA by emailing [email protected]. The last date to change your package is 09:00 (BST) 27 May 2025.
If the delegate package that you are switching to is not a like for like booking (i.e., substitute package is a different rate to what you originally paid) any difference due to the Association must be paid immediately (the registration rate at time of substitution applies). BCLA shall not be liable for reimbursing the difference in package cost if the amount due for the substitute package is of a lesser value.
ii) Attendee Substitution
If you are unable to attend the conference, we welcome a substitute delegate to attend in your place.
You must give written notification of a delegate substitution to BCLA by no later than 09:00 (BST) 27 May 2025 by emailing [email protected]. You must inform BCLA of your contact details and of the contact details of the delegate who will be taking your place.
If the substitution is not a like for like booking (i.e. substitute person does not qualify for the same rates) any difference due to the Association must be paid immediately (note that the registration rate at date of substitution applies). BCLA shall not be liable for reimbursing the difference in package cost if the amount due for the substitute delegate is of a lesser value.
iii) Refund
If you cancel your booking, BCLA will offer a partial refund, subject to the following terms:
• A cancellation fee of £75 will be charged to cover administration costs.
• Refunds for cancellations will be processed if the cancellation is received by 09:00 (BST) on 27 May 2025.
• No refunds will be issued for cancellations made after 09:00 (BST) on 27 May 2025.
• No refunds will be provided for non-attendance, regardless of the reason.
• BCLA will not be liable for any expenses incurred by you for travel, accommodation, or any other arrangements made to attend the event, and no reimbursements will be made in such cases.
